August 2017 Meeting Minutes

At 6:00 p.m. the Budget Hearing was opened with the distribution of  Ordinance No 17-2 Setting Forth the Budget and Making Appropriations of Sums of Money for all the Necessary Expenditures of the Blue Mound Memorial Public Library District, Macon County, Illinois for Corporate Purposes for the Fiscal Year Beginning July 1, 2017 and Ending June 30, 2018.  After the proposed budget was reviewed and discussed, Dani Noland made a motion to accept the budget as written.  Kathy Brownlee seconded.  A Roll Call Vote was taken with unanimous approval.  The motion carried. 

 

The meeting was called to order by President Anne Byard.

 

The Board recited the Pledge of Allegiance.

 

Secretary Report:  Diana Kupish read minutes of the July 24, 2017 meeting.  Kathy Brownlee made a motion to approve the minutes and Matt Dilbeck seconded.  The motion was carried.

 

Treasurer’s report:  The treasurer’s report was reviewed and discussed with the comment that “nothing unusual’ occurred since the last meeting.  Dani Noland made a motion to accept the Treasurer’s Report as presented.  Matt Dilbeck seconded.  Motion carried. 

 

 Librarian report:

  • Julie Jones said the Library had an on-site visit on July 31, 2017 from Illinois Heartland Library System by Ellen Popit, the Membership and Grants Director and Chris Dawdy, the Share Director.  Because Julie is the new Librarian, Popit and Dawdy used the opportunity to explain the services available to our library through the Illinois Heartland Library System.  They suggested Julie take the Bar Coding II class (Sept 7th) and the Free Form class (Sept 8th).  The Small Library meeting is coming soon (Sept 22nd), providing an opportunity to share ideas and suggestions as well as meet counterparts in neighboring communities.  Julie is planning to attend all three events.

     

  • Anne suggested a Free Fine Week as an opportunity to regain some borrowed items and remove some names from the delinquent list.  There was a brief discussion about possibly adding that to the December calendar.

     

  • The Library is working on the Fall Story Time beginning the end of September with the theme: Animals.  They currently have a horse, goat, chicken, guinea pig, rabbit and a donkey coming to visit the library for story time. 

  • Ladies Night Out is scheduled for November 16th and vendor suggestions are appreciated.  Local and repeat vendors are sought first.  Duplicate items are discouraged in order to have a better variety of items available.  If the school does not have a Baked Potato fund raiser as they did in 2016 for the DC trip students, the library may want to consider having a baked potato bar for refreshments.

     

  • Julie asked how to handle employment background questions.  Anne suggested the inquiring party submit the request in writing and the board president would respond.  Questions regarding reasons for termination would be obtained from board minutes.

     

  • The Librarian and staff extended genuine appreciation for the recent raises. 

     

  • Julie proudly announced the completion of the Illinois Public Library Annual Report, a 14 page project taking at least as many hours to prepare.

     

  • Anjolee Eickhoff brought a veggie tray to the library to thank the staff for everything they have done for her through the library.

     

  • Julie is taking a short vacation (Sept 1st through Sept 4th)

     

  • Julie has invited library staff and board members to her home for a cookout and potluck Sunday, October 8th at 6 p.m.

 

Old Business:

 

  • The dead tree outside the annex has been cut but not to the ground.  Specific criteria for the replacement will be discussed with Curt Swigert asking that he not exceed $100 for the new tree.  At the same time, ask him about removing some of the mulch in that area.

     

  • Weeds have taken over around the library; Jerry Reichert reporting that he is mowing more weeds than grass.  Instead of contracting for this lawn service, Anne will try some Weed and Feed and perhaps some grass seed in the spring. 

 

  • James T Damery Memorial Committee met and will present their thoughts in the September Library meeting.

     

  • Memorial Book has come in and staff is in the process of filling it in.  Thursday evenings has been a good time to work on it.

     

  • Local authorities were called on 7/26/2017 regarding the woman previously discussed for loitering outside the facility.  One patron was frightened by her and requested someone from library staff accompany her to her car when leaving.  Leon Kallenbach talked to the individual to determine her state of mind and/or need for assistance.  She provided her name and address and stated her purpose for spending so much time outside the library was to access wifi.  She has not been seen for a couple weeks.

  • Robinson Family was contacted by Anne meeting with Gretchen.  She indicated the family was not interested in taking possession of the magazine rack spinner and would be happy with a brick  on the Memorial Walk replacing the memorial plaque on the rack. 

     

  • Jack Trimble installed the new emergency light and lighted Exit sign. 

 

 

New Business:

  • Employment background on past employees discussed and will be handled by the board.

Motion to adjourn:  Kathy Brownlee moved to adjourn the meeting; Matt Dilbeck seconded; motion carried.  Meeting adjourned at 6:45 p.m.
