Board of Trustee’s Meeting

The meeting was called to order by President Anne Byard at 6:00 P.M.

The Board recited the Pledge of Allegiance.

Trustee, Dani Noland read minutes of the May 22, 2017 meeting.  Amy Brown made a motion to accept the minutes as read; Kathy Brownlee seconded the motion. The motion was approved.

Treasurer’s report: Amy distributed the Treasurer’s report and asked for discussion of the bills and balance sheet.  Dani moved to accept the Treasurers report as presented; Matt seconded. The motion carried. 

 Librarian reports presented by Julie Jones.  

Ø Flowers have been planted and an American Flag donated by the Green Machines 4-H club.  

Ø New name plates have been engraved and installed on Past Board Member plaque for Seth Gualt and Sally Hamon.  

Ø A new scanner had to be purchased, the bill for which will come in July and be paid out of the building and equipment fund.  

Ø The Fire Exit and Disaster Drill Signs in the Library and in the Annex were updated.

Ø The Emergency Light and Exit signs and Disaster Drill Signs in the Library and Annex require updating and/or replacement. The proposal from Trimble Construction included new Exit signs with LED lights instead of the existing signs that have one tube light per letter and are no longer readily available.  It was noted that the emergency directions sign has never been an issue during fire safety inspections.  Kathy Brownlee made a motion to do all on the proposal except the emergency directions.  Amy Brown seconded the motion.  The motion was voted upon and carried. 

Ø Furnace filters were checked and dated.   

Ø The dead tree outside the annex needs to be removed and possibly replaced.  Dani will call Curt Swigert to have the dead tree removed.     

Ø The door to the annex currently remains locked without authorized access.  Past discussions on this matter arose due to concerns of unauthorized or inappropriate use of the facility.  Various suggested solutions included alarms and/or cameras were not cost effective and the alternative of leaving the door locked seemed to be the most practical at the time.  The initial concern of someone entering without being noticed has been eliminated because of the noticeable squeak in the door as it is opened.  It was suggested to look for simple bells to attach to the door for an additional alert and leave the door unlocked.  Dani made a motion to give Julie permission to leave the door unlocked and attach bells as an additional alarm system.  Matt seconded the motion.

Ø There are two high school volunteers for the Summer, Courtney Solomon and Hunter Chumbley.

Ø There have been 188 signed up for the Summer Reading Program.  There were 162 in the 2016 Summer Reading Program.

Ø The Next of Kiln program on 6/14/2017 was a big success with 101 children in attendance.  With the cost of the program at $5 per child, Julie expressed concern about whether the program actually did anything to enhance the Library.  There were 14 volunteers (not from library staff or board) and the program was over in one hour.  

Ø A tea or something was suggested to show appreciation for all the volunteers help throughout the year.  Julie has been keeping a list of those who have helped in some way since her arrival.

Ø Wiffle Ball Game/Bright Start on 6/21/2017 had 60 children in attendance including pre-school.

         7/12/2017  Snake Show with Brad Damery

         7/19/2017  The Rope Warrior (in gym)

         7/26/2017  Pool Party

Ø The Delinquent Patrons List was reviewed and unchanged since the last meeting.
