July 2019 Meeting Minutes

At 6:00 p.m. the meeting was called to order by President Anne Byard  


The Board recited the Pledge of Allegiance.  


Secretary’s Report:  The minutes for the June 24th Blue Mound Memorial Library Board of Trustees had been emailed to everyone to review.  Julie verified that everyone received the minutes electronically. Anne noticed an error in the minutes regarding the frequency in which Carolyn Wetzel is paid; Minutes stating Carolyn receives a check monthly and should state she is paid bi-monthly. The correction was made to the minutes.  Kathy Brownlee made a motion to accept the Minutes with the correction.  Nancy Gorden seconded the motion.  The motion carried with all ‘Aye’ votes.    


Treasurer’s Report:   The Treasurer’s report was presented in writing and reviewed by the Board of Trustees. There were no questions or comments.  Kathy Brownlee made a motion to accept the Treasurer’s Report as submitted.  Nancy Gorden seconded the motion.  The motion carried with all ‘Aye’ votes.  


The Treasurer’s End of Year Report 2018-2019 was presented in writing. Anne had talked to Alice about the Treasurer’s Report who summarized closing the fiscal year.   The Corporate Fund currently shows a balance of $11,896.67, $10,000 of which will be moved to Special Reserves.  After the invoice for the work done by Jack Trimble Construction is received, it will be paid from the MMDA, Special Reserves Account.  The Building & Equipment account currently shows a negative balance ( -$1,1439.99), which will be brought to zero by moving that amount from MMDA, Special Reserves Account.  Nancy Gorden made a motion to accept the Treasurer’s End of Year Report 2018-2019 and year-end adjustments as explained by Anne Byard. Kathy Brownlee seconded the motion.  The motion carried with all ‘Aye’ votes. 



Librarian’s Report:    

  • The Library Hours during the Fall Festival are as follows: The Library will be open from 10-4 on Thursday August 8th and Friday, August 9th . Library will be closed on Saturday, August 10th .
  • Carolyn Wetzel put up a lovely valance at the window in the northwest corner of the library.
  • Carolyn will be cleaning the carpet before Story Time resumes in September.
  • There was a hint of a gas leak on Friday July 12th. Ameren was notified and all employees and patrons were told to evacuate. When Ameren arrived, they found two very small leaks in the furnace room in the Annex and were able to fix them on the spot. The library was closed for about 45 minutes.
  • Scheduling will change a little bit in August due to Lindsey Sheppard’s return to work at the school on Tuesdays and Thursdays. She will begin working all day every Wednesday at the Library and some additional hours on Monday, Friday or Saturday.
  • Julie is planning to attend an Adult Services Forum on August 9th in Mt. Zion and a Free Form meeting on August 16th in Rochester. The programs allow librarians to listen to others in the field and get ideas for programs for both children and adults.        
  • Library Activities: 
  • Traveling Help Desk with a representative from Congressman Rodney Davis office visited the Library on June 25th form 10:00 – 11:30 a.m. to listen to community questions, concerns, and ideas. There were four attendees.
  • Book Club met on July 18th to discuss the book “The Dog Walker’s Diary” by Kathryn Donahue.
  • Summer Reading hosted the following programs
    • The Ceila and Little Ceila Puppet Show on June 26th
    • READiculous on July 10th
    • Scovill Mobile Zoo on July 17th with about 50 children attending.      
  • Up Coming Programs Include:   
  • 1000 Books Before Kindergarten Program will begin in August. The intent is to encourage pre-school children to read or be read to since all studies agree that the more children read before attending kindergarten, the more they will excel throughout their schooling years.
  • “Take and Make Bookmark” is a craft offered to patrons during their regular Library visit from August 5th – 9th. Julie attempted to instruct the Board of Trustees as a group which took about 5 minutes to complete.  In practice, the craft is not going to be a group activity.  
  • Book Club will meet on Friday, August 16th at 6:30 p.m. to discuss the “Of Mess and Moxie” by Jen Hatmaker.
  • Summer Reading will be concluding with a Swim Party on July 24th from 10 – noon. There were approximately 160 participants for the Summer Reading Program and about 100 of them did it all.
  • Old Business:  
  • Painting of the Building has been completed. The work was done by Craig Sperry from Trimble’s Construction. The grey trim on the top in the front of the building is an attractive accent.    
  • Roof: Tabled. It will require bids.
  • Sign: Lily Sign Company will install the new sign on Wednesday July 26th.
  • Report from Committee to Review Minutes: The Minutes were fine with no errors or corrections needed. Nancy made a motion to accept the Minutes as submitted for the fiscal year of July 2018 – June 2019. Kathy Brownlee seconded the motion. The motion was carried with all ‘Aye’ votes.
  • Stonington Library sent a letter thanking the BM Memorial Library and Board of Trustees for their assistance during the past year knowing that the Stonington School would be closing its doors and moving the remaining grade levels to Taylorville leaving the Library with an uncertain future. The Stonington Library and the Stonington Community were informed at the July Stonington School Board meeting that the facilities housing the Stonington Library has been given to the Stonington Park District and they should not expect any changes.
